RoV University Cup 2026 is Garena Thailand’s university-level RoV tournament, which has to take team applications from universities across the country. I designed and built the whole registration system: the public site, the 8-step application wizard and the back office for the organising team. 51 universities and 255 contenders have registered through it.

The problem

  1. 01Applicants are students from dozens of institutions who must submit many member details and files per team — and often skip or duplicate fields.
  2. 02Organisers need to be sure each university fields exactly one team, rosters follow the rules, and nobody impersonates a student.
  3. 03A large volume of students’ personal data and photos has to be handled carefully.

The approach

  1. 01An 8-step wizard that guides applicants section by section, using an 8-character code issued by the organiser to bind the application to one university and lock its name.
  2. 02Rules validated on both client and server with Zod: one team per university, 6–9 members, duplicate detection, plus time-window and quota checks.
  3. 03Browser-side drafts, instant uploads and per-member save state, so a refresh or closed tab never loses work.
  4. 04A back office to inspect proofs member by member, approve or reject teams, set switches and schedules, and export Excel/CSV and a ZIP of images.
  5. 05A PDPA step in the form, randomised file names and strict file type and size limits.

The result

  1. 0151 universities and 255 contenders registered successfully through the system.
  2. 02The organisers received verified data they could export straight away for bracketing, jerseys and communications.
  3. 03Handed over 9 documents, including a QA test guide, so the organisers can run it on their own.

Deliverables

  • Public site: landing page, team directory and prize section
  • 8-step registration wizard with draft recovery
  • Back office for team review and system settings
  • Excel/CSV and ZIP image export
  • 9 system documents including a QA test guide

Retrospective

Challenges

  • Designing for many simultaneous applicants without losing files or data, using instant uploads and saved drafts.
  • Rendering Thai player names with correct upper/lower vowels and tone marks on the public pages.
  • Making the rules strict enough to block bad data without stopping teams that have no coach or substitutes from applying.

Learnings

  • Turning a client’s tournament rulebook into rules that can be checked automatically.
  • Designing a long form people actually finish — clear state and recoverable progress.
  • Writing docs and a test guide that make a handover real.
